Here are the minutes of the committee meeting held on Tuesday 14th January 2025.
Meeting Start:- 7:04pm
Attendees:- Mitch Webber, Max Webber, Dave Sloan, Barry Pointer, Rachel Waite, Billy Davies, Rupert Griffiths, Simon Healey, Les Carruthers.
Apologies:- Neil Adlem, Garry Atkins.
1). Welcome.
- Mitch welcomed everyone to the meeting.
2). Past Minutes.
- The minutes were agreed and passed.
3). Matters Arising.
- None.
4). Vice Chair, Dave.
- Nothing to report.
5). Club Captain, Max.
- Due to the recent weather, several rides have been cancelled.
6). Racing Secretary, Rachel.
- The 2025 TT event Calendar has been compiled. 10 events and all good courses. Rupert mentioned that there were not any Monxton events: RW said that due to the poor condition of the road surface it had been considered as a road bike only event, but decided against it. An evaluation/ Risk assessment will take place to evaluate the number of marshals and helpers in hope to streamline the process.
- There will be a mix of Tues and Wed dates throughout the season in order to combine with other clubs events. There will be separate TT and Road bike leagues this year.
- RW has the TT time clocks to establish which ones work or do not work and if necessary a new clock will be purchased.
7). Secretary, Barry.
- Finally managed to pay AW affiliation to British Cycling on the 17/12/2024.
8). Treasurer, Garry.
- Garry not present.
9). Membership Secretary, Rupert.
- There are to date, 72 members, including 56 Seniors, 9 Oaps, 2 Youths and 5 U18s.
- 5 members are confirmed as not renewing.
10). Clothing Officer, Neil
- Neil not present, but sent this report:
Just over 80 Items left in stock I’m working with Garry to check this. Nothing sold in Jan.
Email from Harry @ Halo Sports:
“I will be writing to you officially in the next ten days to advise that as from end of April, Halo Sports will no longer be supplying club clothing to cycling clubs. A drop in the popularity of club cycling, coupled with decrease in order quantities no longer make this a viable option for us- with most clubs sourcing from two or three manufacturers for their clothing requirements. We will be continuing with a generic range and helmets, plus a new range of cycling related confectionery, gifts and drinks coming from our other confectionery/food business.
We will have a sale of the club stock that we currently hold and I will send this list across to you in the next month.

When I find some time during the working week (which is very difficult during School Term Time) I will pursue NoPinz for the club shops to be complete and open for members.
11). Welfare Officer, Simon.
- SH raised some details and concerns with procedures with AW following on from his recent completion of the British Cycling Safe Wheel Course. One is the pictures of TT events being posted of the AW Facebook page which include children. Although the page is private, there are a huge number of people who are not paid up members and nothing to do with the club. There may be a deletion of many people who are currently on this FB page.
- A discussion took place where it was established that it is very difficult to totally eliminate children from pictures being posted, One solution is on the sign up sheet at the start of an event there may be a caveat to let everyone taking part that spectators including children may be in the pictures posted on the AW FB page
- Also, SH raised the issue regarding Ride Leader protocols and procedures if something goes wrong on one of these rides and stated that the welfare officer should have ride leaders details etc.
12). Communication Officer/Website Editor, Billy.
- The Sunday club rides have been added to the AW website through to mid Feb 2025.
- The request to submit events resulted in 2 submissions. Other added events are the Autumn Tour, Club Dinner and the Open TT.
- The Route Library page has had 3 routes added.
- The weekly email is being sent every week even over Christmas with an estimated open rate of 86%. There has been 3 unsubscribes to date.
13). Club Dinner.
- The Club Dinner/Presentation has been organised by Max at the Lion PH in Clanville on the 1st Feb and all details will be/are on the AW FB page. It was decided to subsidise to cost to members and include a free first drink voucher to those attending.
